Note: The clean-up tool needs to be run in each of the orgs under the paid license.
There are 3 ways to use the Cleanup tool to remove/merge duplicate people from your talent pool.
Option 1 - Cleanup dialog when over the limit
When the number of charts/members/admins/fields exceed the limit designated by the purchased license for the plan, the blocking screen will appear as in the screen shot below. The license owners or and Admin will need to either upgrade the license to the next tier or use the clean-up tool appears to bring all the exceeded counts under the license limit in order to unblock access to the Organimi app.
Simply click the Cleanup button to go to the clean-up screen.
After clicking the Cleanup button, you will see the following screen where you should be able to remove any duplicates or unassigned people from the license.
- Here, the different options on the left side for clean-up can be seen.
- Each section would show if that particular parameter (Duplicate People, Unassigned People, Charts, Custom fields, Owners & Admins) is above the limit and hence can be cleaned-up accordingly.
- For example in the below screenshot, it shows that the current plan only allows 500 unique person(s) to be added to the license for charting purposes but currently there are more than 500. It also states that 1 person needs to be deleted in order to go under the limit and access the account.
- Also, it shows the data for only one organization at a time which can be switched by clicking on the drop-down for Select Organization.
- Make sure to clean-up all the orgs by selecting each org in the drop-down and clean-up accordingly.
- The most common case is the Duplicate People or Unassigned People so users can clean-up the account accordingly.
- Note: If there are no duplicate or unassigned people and no chart that can be deleted (need to keep that chart) in the account but it is still above the limit, please contact support at support@organimi.com
The duplicates list will show the added members in three different categories as shown below. After reviewing the list, click on Merge to merge the duplicates. Be sure to check the listed possible duplicates carefully to ensure that they are, in fact the same person, especially in the 3rd section if you happen to have people with the same or similar names.
Option 2 - From within the org chart
You can run the clean-up tool when every you think you may have people that are not in any of the charts anymore or potential duplicates ... running the clean-up every now and then is a good way to keep your talent pool(s) up to date with people actually in the charts.
- Open an org chart and click the Show / Hide Talent Pool icon.
- Click the Cleanup tool (broom-looking icon).
- On the clean-up dialog, click on check again for Duplicate People and merge people, if needed. Also, click on Unassigned People, check again and then delete the people in the list as these are not present in any of the charts.
Option 3 - From the PEOPLE tab
1. Select the PEOPLE tab from the dashboard.
2. Click on Clean-up button
Remove/Merge Duplicate People
1. Click on Check Again to fetch any duplicates in the People list.
2. Click on Merge to merge the duplicates into one entity containing all the information.
3. Click on Confirm to complete the merge.
Delete Unassigned people
1. Click on Check Again to fetch the list of unassigned people in the current organization.
2. Click Delete to remove these entries from the roster.
3. Click on Confirm to complete the deletion.
Note: Deletion is permanent. There is no way to recover deleted people.
