By default, an org chart is set to Private accessibility, however, you can choose to share an org chart with select individuals by inviting them via email to create an Organimi account and giving them the ability to view only, or edit your charts.
Note that in a paid account, you also have the option to share your org charts via URL link or iFrame embed without requiring users to create an Organimi account. Click here for details.
To share your org chart:
- Click the name of the org chart you wish to share to open it.
- At the top of the org chart view, click on the Share & Embed icon.
- From the menu that appears, click Share.
- In the Share Chart dialog, choose your options:
A. Choose a Chart Privacy setting. Leave it Public if you wish for anyone with the link to view the chart. (Public charts don't allow you to edit the chart, unless you specifically have edit permissions as an organization administrator).
Click the slider to change the setting to Protected, which will allow you provide more options to specify that certain people will be only able to "view", and certain people will have the ability to "edit" the chart. In this case, you will enter their email address, and then choose "view" or "edit" from the drop-down beside their email address.
NEW: Also, with the "Protected" setting, the dialog changes to display the convenient Bulk Add button to add either all organization members, or add all members in the chart. Note: If you wish these people added in bulk to have edit access, then choose "Can Edit" from the "Can View" drop-down prior to clicking the Bulk Add button. See below:
B. The "Allow public users to view role profiles" checkbox, when enabled, allows users the ability to click on a box in the org chart, and view the role profile (card) right side slide out.
C. Select Share Options, which then allows you to specify how the users will view the chart (including which format), and decide which tools will be available, such as printing, exporting, etc.
D. Click Copy URL to clipboard, which copies the URL link, so that you may paste it (by pressing Ctrl + V) into your own email invitation message.
E. Or, rather than using step D., under Add emails to share with, enter the email addresses, pressing Enter after each email address. Once you press Enter, the email address appears to the right under "To be invited to chart". When you enter email addresses to share with, an automatic email message is sent out (after clicking Send Public Link at the bottom), as an invitation with a link to view the chart.
F. Click the Send Public Link button once you have chosen all of your options. An automatic email will go out to the email addresses you entered in step E with a link to your chart.
- Below is an example of the email the recipient will receive:
The email recipient can click Accept invitation, sign in to their Organimi account (or register for an account if they don't yet have one), then view or edit the org chart depending on the permissions you provided.
